Controller And Processor Roles
- Wagify is usually a controller for platform account, billing, support, security, analytics, service improvement, marketing, legal, and compliance data.
- Operators are usually controllers for client, pet, booking, staff, key, home access, service delivery, and operator website content data.
- Wagify acts as processor when we process operator business data on operator instructions under the Data Processing Agreement.
Data We Collect
- Account data: names, email addresses, phone numbers, avatars, role, authentication identifiers, preferences, and device information.
- Operator data: business profile, services, prices, availability, staff, credentials, insurance, licence details, invoices, payments, taxes, website content, reviews, support cases, and settings.
- Client and pet data: pet names, species, breeds, age, photos, health notes, vaccinations, behaviour, temperament, microchip, vet, medication, allergies, reports, and booking history.
- Booking and communication data: bookings, messages, notes, cancellation details, reports, photos, walk/check-in/check-out data, invoices, payment status, and support records.
- Sensitive operational data: home access notes, access codes, key logs, pickup/drop-off information, emergency contacts, and safety records.
- Technical data: IP address, device, browser, app version, logs, diagnostics, cookies, local storage, analytics events, crash data, and security telemetry.
Purposes And Lawful Bases
- Provide accounts, bookings, operator websites, scheduling, payments, invoices, messaging, reports, and support.
- Perform contracts with operators and users, or take steps before entering a contract.
- Support legitimate interests such as security, fraud prevention, service improvement, analytics, customer support, legal defence, and platform reliability.
- Meet legal obligations including accounting, tax, law enforcement, data protection, consumer, and payment obligations.
- Use consent where required, including for non-essential cookies, some marketing, and optional contact permissions.
Special Category And Sensitive Data
Some records may indirectly include sensitive information about people, for example disability access notes, health-related availability, emergency context, or information entered in free-text notes. Pet health data is not special category data about a person by itself, but it may still be confidential and high risk.
Operators must avoid entering unnecessary personal health or sensitive data and must have a lawful basis for any sensitive data they add.
Sharing
- With operators, clients, team members, and guests where needed for bookings and account use.
- With processors and subprocessors that host, secure, store, email, message, analyse, or support the service.
- With Stripe and payment providers where payments or payouts are enabled.
- With professional advisers, insurers, regulators, authorities, courts, or law enforcement where lawful and necessary.
- With a buyer or successor if Wagify is involved in a merger, acquisition, restructuring, or asset sale.
Storage, Retention, And Offline Sync
Wagify uses cloud storage and, in the mobile app, local device storage for offline-capable field use. This can include bookings, pets, health records, home access details, key logs, messages, reports, and other operational records.
We keep data for as long as needed for the service, legal compliance, disputes, accounting, safety, support, security, and legitimate business purposes. Retention periods vary by data type and account status.
